(From 10+ Years of Owning and Managing a Vacation Rental)
A successful vacation rental isn’t built on luck - it’s built on systems that work even when you’re not there.

After more than 10 years of owning and managing a short-term rental, we’ve learned that most problems aren’t caused by guests. They’re caused by missing basics: no visibility, no preparation, and no backup plan.
Below are the core areas every vacation rental should be set up for, along with why they matter. For each section, we’ve linked to the exact types of products we recommend based on real-world use, not theory. The top choice is what we are currently using and love it. You don’t need to buy everything at once. But every item in these categories has paid for itself in saved trips, avoided damage, or smoother stays.
Smart Access & Entry Control
Why this matters: The first five minutes of a stay shape the entire guest experience.
Keyless entry eliminates lost keys, late-night lockouts, and awkward handoffs. Remote access also makes it easier to manage cleaners, contractors, and emergency access -without being on-site. For door access, Schlage is a trusted provider that we use at all properties. If you wanted something other than this manufacturer there are many options in the Smart Door Access market . For Garage door Access Chamberlin is our choice, every garage door open should accompanied by a MyQ remote opener.
Most check-in problems we’ve dealt with over the years were completely avoidable with the right access setup. 👉
1) Schlage Arrive Smart Wi-Fi Deadbolt is a reliable, keyless deadbolt with built-in Wi-Fi that lets you lock/unlock remotely, create and manage unique access codes, and receive activity notifications in the Schlage Home app - all without a separate hub. Its simple setup and robust mobile control make it ideal for vacation rental hosts who want fewer check-in issues and secure, flexible guest access.
We've used the earlier version of this Schlage product for 9 years and it's still working like on day 1! This is all you need to manage entry and access control of your property but if you want even more bells and whistles like Alexa and Ring integration check out the Schlage Encode below.
2) Schlage Encode Smart WiFi Deadbolt is a premium smart deadbolt with built-in Wi-Fi that lets you lock and unlock your rental door from anywhere, create and manage up to 100 unique access codes, and receive activity alerts, making check-in and turnover seamless and secure for guests and cleaners, while helping you maintain keyless access control without extra hubs or add-ons. But if you are already using Ring cameras or Ring Alarm at your property all controls and alerts can be live in one app.
3) Schlage Encode Plus Smart WiFi Deadbolt - Has all the features of the standard Encode, plus additional smart home integration options. Typically has a slightly more modernized keypad design and updated hardware for future-proofing, a good option for a few extra bucks. Still uses built-in WiFi, no extra hub required
4) MyQ Smart Garage Door Opener Controller, gives vacation rental owners the ability to remotely open and close the garage door from anywhere using a simple phone app, provides real time visibility into whether the door is open or closed, and installs easily by connecting directly to your existing garage door opener. This remote access makes it easy to monitor guest arrivals and departures, allow contractors, cleaners, or deliveries access without being on site, and quickly respond if a garage door is left open.

Exterior monitoring helps confirm arrivals, prevent parties, and spot issues before they escalate. The goal isn’t surveillance- it’s awareness, especially when you’re managing remotely. The difference between a small issue and a major problem is often how quickly you know it’s happening.
